Role Overview

We are seeking a highly organised, discreet, and proactive Executive Assistant to provide

comprehensive support to the Managing Director. This is a dual-function role that combines traditional executive assistance with limited administrative support for our Kathmandu office operations. The role demands flexibility, trust, excellent time-management skills, and the ability to work across different time zones.

Key Responsibilities

Executive & Administrative Support

  • Manage the Managing Director's calendar, appointments, and travel arrangements
  • Act as the primary point of contact between the Managing Director and internal/external

stakeholders

  • Prepare and coordinate correspondence, presentations, and reports as required
  • Assist with inbox management, prioritising emails and ensuring timely follow-ups
  • Coordinate meetings, develop agendas, and track action items through to completion
  • Handle all confidential information with the highest level of discretion and professionalism

Administrative Duties — Kathmandu Office (2:00 PM – 4:00 PM Daily)

Given the time zone difference between Australia and Nepal, the final two hours of each working day (2:00 PM – 4:00 PM Kathmandu time) will be dedicated to supporting the Award Global Admin Team based in Kathmandu. Duties include:

  • Providing administrative support to the Kathmandu office operations
  • Assisting with documentation, data entry, and coordination tasks as directed
  • Liaising with the local admin team to ensure smooth day-to-day operations
  • Supporting cross-office communication and workflow management

Skills & Experience

  • Proven experience as a Personal Assistant, Executive Assistant, or similar administrative role
  • Minimum 1–3 years of relevant experience (adjustable based on the candidate's level)
  • Strong organisational and time-management skills with the ability to manage multiple priorities
  • High level of professionalism, discretion, and reliability at all times
  • Excellent written and verbal communication skills in English
  • Demonstrated ability to work independently and proactively anticipate needs
  • Flexible and adaptable approach to a dynamic, fast-paced work environment
  • Proficiency with office management systems, scheduling tools, and databases

Experience & Qualifications

  • Proven experience as an Executive Assistant, Personal Assistant, Administrative Assistant, Office Assistant, or similar role
  • Minimum 1–3 years of relevant administrative experience
  • Experience with office management systems and procedures
  • Familiarity with scheduling tools and databases is advantageous
  • Strong computer literacy, including proficiency in Microsoft Office Suite
