Position Overview
The Fulfillment Operative is responsible for ensuring timely and accurate fulfillment of client staffing requirements. This role involves coordinating workers for various shifts, maintaining client communication, managing timesheets, verifying compliance documents, and identifying new client opportunities. The ideal candidate must be highly organized, proactive, flexible with working hours, and capable of performing in a fast-paced environment.
Key Responsibilities
1. Fulfilling Client Requirements
- Understand client staffing needs and allocate suitable skilled workers for shifts.
- Match candidates based on experience, skills, certificates, and availability.
- Ensure all staffing requests including urgent or last-minute demands are fulfilled on time.
2. Flexible Working Hours
- Work flexible hours including mornings, evenings, weekends, and on-call shifts when necessary.
- Maintain availability during peak periods to support urgent requirements.
3. Timesheet Management
- Collect, verify, and process weekly timesheets for deployed workers.
- Ensure accuracy by cross-checking with client attendance records.
- Follow up with workers or clients for missing or incorrect timesheets.
4. Client Communication & Coordination
- Make regular calls to clients to confirm staffing needs and track upcoming requirements.
- Maintain strong professional relationships to ensure high client satisfaction.
- Provide updates regarding confirmations, cancellations, or replacements.
5. Candidate & Shift Scheduling
- Contact and confirm suitable candidates for scheduled shifts.
- Handle last-minute changes and provide quick replacements.
- Maintain an updated database of candidates’ skills, certificates, and availability.
6. Potential Client Lead & Approach
- Identify potential clients across sectors such as care homes, hospitality, warehouses, and security.
- Approach potential clients via phone, email, or different portals professionally
- Record and follow up on leads, forwarding information to management for conversion.
7. Follow the Lead
- Work on assigned business leads from management to secure new client partnerships.
- Track and update lead status regularly and maintain clear communication.
8. Documentation & Compliance
- Verify candidate Right to Work documents, licences, and certificates.
- Ensure only compliant and fully verified workers are deployed.
- Maintain accurate and confidential records.
9. Quality Assurance
- Monitor performance of deployed candidates.
- Collect feedback from clients and address concerns promptly.
- Ensure continuous improvement in service delivery.
