The Front Desk Officer serves as the first point of contact for students, parents, visitors, and external stakeholders. The role is responsible for providing professional reception services, managing communication and documentation, supporting administrative functions, maintaining records, ensuring visitor management and security compliance, and contributing to the smooth day-to-day operation of the school.
Key Responsibilities
Reception and Communication Management
- Receive, answer, and route incoming telephone calls promptly and professionally.
- Provide accurate, timely, and courteous information to parents, students, staff, and visitors.
- Take messages and relay information to concerned personnel without delay.
- Handle walk-in inquiries and direct visitors to the appropriate departments.
Visitor Management and Customer Service
- Welcome parents, visitors, guests, and stakeholders in a professional and friendly manner.
- Maintain visitor sign-in and sign-out records.
- Issue visitor passes and ensure compliance with school security procedures.
- Guide visitors regarding school facilities, offices, and services.
- Ensure a positive and professional experience for all visitors.
Document Control, Filing, and Record Keeping
- Receive, record, and distribute incoming letters, couriers, and official documents.
- Maintain registers for incoming and outgoing correspondence.
- Preserve copies of outgoing documents for future reference.
- Manage internal reference numbering systems and filing mechanisms.
- Maintain organized physical and digital records for easy retrieval.
Administrative Support
- Provide administrative assistance to school leadership, teachers, and staff.
- Support photocopying, printing, scanning, filing, data entry, and document preparation.
- Assist in preparing reports, presentations, meeting materials, and official communications.
- Coordinate routine administrative tasks as assigned.
5. Stationery and Student Supply Management
- Issue notebooks, registers, hats, and other approved items to students.
- Maintain proper records of issued items in the designated software system.
- Coordinate with the store and billing departments to ensure accurate inventory and billing records.
- Issue sanitary pads to students when required and maintain confidential records of distribution.
Appointment and Calendar Management
- Schedule appointments and meetings for administrators, counselors, teachers, and other staff.
- Maintain appointment calendars and coordinate meeting arrangements.
- Ensure effective utilization of staff schedules and meeting spaces.
Confidentiality and Information Security
- Handle student records, employee records, health information, and confidential documents with utmost discretion.
- Maintain strict confidentiality and comply with organizational policies regarding data privacy and information security.
- Ensure sensitive information is disclosed only to authorized personnel.
Emergency and Safety Response
- Follow established school protocols during emergencies, including medical incidents, fire alarms, evacuation procedures, and security situations.
- Support visitor and student safety by ensuring compliance with school safety procedures.
- Immediately report emergencies or suspicious activities to the concerned authority.
Time Management and Work Coordination
- Prioritize tasks based on urgency and importance.
- Manage multiple responsibilities simultaneously while maintaining service quality.
- Complete assigned tasks within stipulated deadlines.
