Job Description

We are seeking a Documentation Officer to manage, verify, organize, and maintain candidate and recruitment-related documents. The ideal candidate should be highly organized, detail-oriented, and capable of ensuring that all documentation is accurate, complete, and properly maintained.

Key Responsibilities:

  • Collect, verify, and maintain candidate documents required for recruitment and processing.
  • Prepare and organize documentation for candidates based on job and client requirements.
  • Check documents for accuracy, completeness, validity, and consistency.
  • Maintain proper physical and digital records of candidate files.
  • Ensure timely submission and processing of required documents.
  • Coordinate with candidates to collect missing or updated documents.
  • Prepare forms, checklists, applications, letters, and other recruitment-related documents.
  • Maintain document trackers and regularly update candidate records.
  • Coordinate with internal recruitment and operations teams regarding documentation requirements.
  • Follow up with candidates to ensure documents are submitted within required deadlines.
  • Ensure confidentiality and secure handling of sensitive candidate information.
  • Maintain proper filing systems and ensure documents can be retrieved easily when required.
  • Assist in preparing reports related to documentation and candidate processing.
  • Perform other documentation and administrative duties as assigned.
Job Specification
  • Bachelor's degree in management, Business Administration, or a related field.
  • 1–2 years of experience in documentation, administration, recruitment, or a related role.
  • Strong attention to detail and accuracy.
  • Good command of written and spoken English and Nepali.
  • Proficiency in MS Office, particularly Word and Excel.
  • Strong organizational and follow-up skills.
  • Good communication and interpersonal skills.
  • Ability to manage multiple documents and tasks within deadlines.
  • Ability to handle confidential information professionally.
