Reports To: Manager – Talent, Leadership & Culture / HR Manager

Salary: 30K or Negotiable

Location: Head Office with regular visits to logistics hubs, warehouses, and field locations.

Job Summary

The People and Operations Executive – Logistics is responsible for ensuring smooth and compliant HR operations for the logistics workforce. The role manages employee onboarding, payroll coordination, statutory compliance, grievance handling, HR reporting, attendance monitoring, and manpower agency coordination while ensuring an excellent employee experience and operational efficiency.

The incumbent serves as the primary HR contact for logistics employees, supervisors, and manpower agencies, ensuring timely support and adherence to company policies and labor regulations.



Key Responsibilities

People Operations

  • Manage end-to-end HR operations for the logistics workforce.
  • Ensure accurate employee documentation and personnel records.
  • Maintain HRIS with updated employee information.
  • Coordinate employee confirmations, transfers, promotions, and separations.
  • Support workforce planning and manpower requirements.

Onboarding & Offboarding

  • Coordinate joining formalities for new employees.
  • Verify required employment documents.
  • Conduct induction and orientation sessions.
  • Ensure timely completion of onboarding checklists.
  • Manage exit interviews, clearance, and final settlement coordination.

Payroll & Attendance

  • Validate attendance, overtime, leave, and shift records.
  • Coordinate monthly payroll inputs with Finance.
  • Resolve payroll discrepancies.
  • Monitor absenteeism and attendance trends.
  • Ensure timely salary processing.

Compliance

  • Ensure compliance with labor laws and company policies.
  • Monitor statutory requirements, including SSF, CIT, taxation, and employee documentation.
  • Support internal and external audits.
  • Maintain legally required employee records.
  • Ensure policy implementation across logistics operations.

Employee Relations & Grievance Handling

  • Act as the first point of contact for employee concerns.
  • Investigate and resolve grievances promptly.
  • Support disciplinary processes.
  • Promote positive employee relations.
  • Maintain confidentiality during investigations.

Agency Partnership Management

  • Coordinate with manpower agencies for workforce requirements.
  • Monitor agency service quality and contract compliance.
  • Verify agency invoices and employee documentation.
  • Track manpower deployment and attendance.
  • Maintain strong working relationships with agency representatives.

Reporting & Analytics

  • Prepare HR dashboards and monthly reports covering:
  • Headcount
  • Attendance
  • Turnover
  • New hires
  • Attrition
  • Vacancies
  • Payroll summary
  • Overtime
  • Leave utilization
  • Agency manpower
  • Provide insights and recommendations for operational improvements.

Employee Engagement

  • Support employee communication initiatives.
  • Coordinate recognition activities for logistics teams.
  • Promote policy awareness.
  • Conduct employee feedback sessions.

Qualifications & Experience

  • Bachelor's degree in Human Resource Management, Business Administration, Management, or a related field.
  • 1-2 years of HR operations experience, familiarity with HRIS and payroll systems.
  • Experience supporting parcel transportation, warehousing, reverse logistics, b2b logistics, cross-border shipping & record management services.
