Job Description
  • Greet clients and set a positive office atmosphere
  • Answer the phone, take messages, and redirect calls to appropriate offices.
  • Organize and maintain files and records; update when necessary
  • Create and maintain updated documents and spreadsheets
  • Oversee sorting and distribution of incoming mail
  • Prepare outgoing mail (envelopes, packages, etc.)
  • Operate office equipment, such as photocopier, printers, etc.
  • Organize bookkeeping and issue invoices/checks
  • Record meeting minutes and dictations
  • Perform inventory of office supplies and order what is needed
  • Serves visitors by greeting, welcoming, and directing them appropriately.
  • Notifies company personnel of visitor arrival.
  • Maintains security and telecommunications system.
  • Informs visitors by answering or referring inquiries.
  • Directs visitors by maintaining employee and department directories.
  • Maintains security by following procedures, monitoring logbook, and issuing visitor badges.
  • Operates telecommunication system by following manufacturer’s instructions for house phone and console operation. 
  • Keeps a safe and clean reception area by complying with procedures, rules, and regulations. 
  • Supports continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
  • Contributes to team effort by accomplishing related results as needed.
  • Be well informed about the operating system of the organization including stocks 
  • Ready to do any type of office work even if it is out of the scope of the designated post upon requirement or situation demands with the immediate seniors concerns only.
Job Specification
  • Must have completed Bachelor's degree 
  • Able to deal effectively with different people (in person and via calls)
  • Must have good communication skills in English and Nepali
  • Have some basic understanding on letter writing and Admin related work
  • Must be adaptable, proactive and self-motivated
  • Verbal Communication, Professionalism, Experience with Microsoft Office software preferred
  • Candidates with more than 2 years of experience in paint showroom are preferred
