Job Description

As a Documentation Officer, you will be responsible for managing and maintaining all official documents related to the recruitment and deployment process. Your role is crucial in ensuring that all paperwork complies with company policies, government regulations, and international manpower requirements.

Key Responsibilities

Document Handling & Verification:

  • Prepare, verify, and process all recruitment-related documents.
  • Ensure all documents are complete, accurate, and meet compliance requirements.
  • Handle visa applications, demand letters, and employment contracts.
  • Maintain records of job orders, client communications, and recruitment processes.

Coordination & Communication:

  • Liaise with candidates, employers, embassies, and government agencies for document processing.
  • Assist in preparing reports for regulatory authorities.
  • Coordinate with different departments to ensure smooth documentation flow.

Compliance & Record Keeping:

  • Keep up-to-date with government rules, embassy regulations, and international labor laws.
  • Ensure timely submission of documents for approvals and clearances.
  • Maintain both physical and digital records systematically.

Technical & System Management:

  • Manage document storage and retrieval using digital tools and software.
  • Support IT-related documentation tasks if required.

Other Responsibilities:

  • Assist in audits and inspections by providing necessary documentation.
  • Support the recruitment team with administrative tasks as needed.

Job Specification

Education:

  • Bachelor’s degree (Running or Completed) in IT, Management, Computer Science  or a related field.

Experience:

  • Minimum 1-2 years of experience in documentation, administration, or a similar role in a manpower/recruitment agency.

Skills & Competencies:

  • Proficiency in MS Office (Word, Excel, PowerPoint) and documentation software.
  • Strong organizational and record-keeping skills.
  • Knowledge of labor laws, recruitment policies, and government procedures.
  • Effective communication and coordination skills.
  • Attention to detail and accuracy in handling documents.

Preferred Skills:

  • Experience with recruitment portals and online application processing.
  • IT knowledge for database management and digital documentation.
  • Ability to multitask and work under deadlines.
  • SOP Wrting and Content Writing.
