Job Description

Client Interaction:

  • Greet clients warmly and ensure they feel welcomed.
  • Answer incoming calls, direct them to the appropriate person or department, and take accurate messages.
  • Respond to client inquiries about travel packages, bookings, and services both in person and over the phone.

Administrative Duties:

  • Schedule and confirm appointments for clients with travel consultants.
  • Maintain and update client records and booking information.
  • Assist in the preparation of travel documents, itineraries, and promotional materials.
  • Handle incoming and outgoing mail and deliveries.

Office Management:

  • Keep the reception area tidy and presentable with all necessary materials (e.g., brochures, maps, forms).
  • Monitor and order office supplies as needed.
  • Coordinate with cleaning staff to ensure a clean and organized office environment.

Support Services:

  • Assist travel agents with research and information gathering for client itineraries.
  • Handle basic bookkeeping tasks and process payments.
  • Coordinate travel arrangements for company staff when required.
Job Specification
  • High school diploma or equivalent; additional education in hospitality, travel, or tourism is a plus.
  • Previous experience in a receptionist or customer service role, preferably within the travel industry.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to multitask and manage time effectively.
  • Friendly and professional demeanor with a customer-focused attitude.
  • Basic knowledge of travel software and booking systems is an advantage.
