Job Description
  1. Greeting and Welcoming Visitors
  2. Politely greet clients, guests, and visitors.
  3. Provide accurate information or direct them to the appropriate person/department.
  4. Answering Phone Calls and Emails
  5. Respond to incoming calls professionally and redirect them as necessary.
  6. Handle inquiries via email or messaging platforms.
  7. Managing Appointments and Schedules
  8. Book, confirm, and reschedule appointments or meetings.
  9. Maintain updated records of all bookings.
  10. Maintaining Visitor Logs
  11. Record visitor information for security and organizational records.
  12. Issue visitor passes if needed.
  13. Clerical and Administrative Support
  14. File documents, maintain records, and handle data entry.
  15. Support administrative staff with routine tasks.
  16. Handling Mail and Deliveries
  17. Receive, sort, and distribute incoming and outgoing mail or packages.
  18. Maintaining Clean and Presentable Reception Area
  19. Ensure the front desk and waiting area are tidy and welcoming.
  20. Customer Service and Problem Solving
  21. Address basic queries, provide company-related information.
  22. Handle minor complaints or concerns in a professional manner.
  23. Coordination with Internal Staff
  24. Relay messages and coordinate communication between departments.
  25. Using Office Equipment
  26. Operate printers, fax machines, photocopiers, etc.

 

Job Specification
  1. Bachelor's degree
  2. Additional training or certification in document management is a plus.
  3. 1 year of experience in documentation in consultancy.
  4. Proficiency in MS Office
  5. Strong attention to detail and accuracy.
  6. Good organizational and time management skills.
  7. Effective written and verbal communication skills.
  8. Ability to work independently and as part of a team.
  9. Ability to handle confidential information securely.
  10. Strong problem-solving skills and adaptability.
  11. Willingness to stay updated on documentation trends and best practices.
