1.     Job Role:  Lease & Tenant Officer

2.     Level:  Mid

3.     Supervising Authority: As assigned by Supervisor/General Manager


 

Job Description 

1.     Entry and update the data /details of tenants in Tenant Cloud Software.

2.     Create financial data of tenants from their respective contract.

3.     Collect Rental, Cam, Utilities and other payments from tenants. 

4.     Verify tenants’ billing (Rent, Cam & Utilities) with Finance & Accounts Department.

5.     Calculate penalty charge regarding late payment fee (Rent, Cam & Utilities).

6.     Update Daily Collection Report of tenants.

7.     Assist in collection and follow up of Rental Cam and service utilities.

8.     Draft a contract of new tenants, contract renewal of old tenants and maintain its folders online & offline.

9.     Draft and correspondence letter/notice to tenants as per requirement and maintain its acknowledged letters.

10.  Assist in correspondence with tenants via call/mail for collection to the supervisor.

11.  Assist in attending queries of potential tenants.

12.  Recommend and coordinate marketing campaigns related to tenants.

13.  Recommend policies and procedures by analyzing accounting options.

14.   Maintains tenants’ confidence and protects operations by keeping financial information confidential.

15.  Liaison between partner agencies to manage, correspondence and coordinate weekly/monthly branding updates.

16.   Prepare weekly/monthly/quarterly reports related to rental collection and store occupancy.

17.  Ensure individual tenant marketing campaigns are in line with Mall guidelines  

18.  Effectively work on the online tenant-based software system used by the mall 

19.  Maintain highly organized filing system of Tenant Portfolio (leases, tenants, insurance certificates, vendors, building drawings, contracts and POs)  

20.  Research and update rental rates, retail trends - perform monthly market surveys.

21.  As assigned by Supervisor/General Manager.
