Functional Responsibilities:

Under the overall supervision of the Workstream Leads (Organizations Development Specialist and Investigation Specialist), the Programme Management Support Associate will assist design, implementation, monitoring, and evaluation of the Projects’ activities. He or she will also provide assistance to the Project related to the establishment and maintenance of the archive, registers, monitoring, and tracking tools as well as in the compilation of plans, reports, presentations, and Project documents.

The Project Programme Management Support Associate will undertake the following activities/responsibilities:

Summary of key functions:

  • Support and coordination of Stakeholder Engagement
  • Support to Programme Implementation Monitoring and Reporting
  • Knowledge Management and Knowledge Sharing 
  • Support and coordination of Stakeholder Engagement
  • Document and map, and regularly provide updates on the project.
  • Ensure liaison and communication with partners and key stakeholders in the relevant duty station and geographic area.
  • Interact with partners to exchange information on operational implementation related to the programme.
  • Coordinate routine activities and operational aspects and report problems and issues to the supervisor.
  • Arrange and support the facilitation of meetings, training, and workshops with different stakeholders.
  • Arrange and facilitate field visits.
  • Support in the delivery of events
  • Support to Programme Implementation Monitoring and Reporting
  • Assists in generating written content for various reporting, administrative, and communication materials including but not limited to the preparation of materials, presentations, and reports related to the organization of meetings and workshops, administrative correspondence, and relevant inputs to donor reports and briefings.
  • Assists in the compilation of the Project’s reports, plans, logs, and other documentation and sharing of the Project’s lessons learned and best practices.
  • Supports the coordination of data collection from the Project team members and external partners and continuously updates data needed for monitoring, evaluation and communications.
  • Assist and participate in field visits to the project sites, including the related logistics and administrative matters as necessary.
  • Knowledge Management and Knowledge Sharing 
  • Shares knowledge and experience.
  • Actively works towards continuing personal learning, acts on learning plan, and applies newly acquired skills.
  • Support the organization of training and learning initiatives for personnel on relevant topics.
  • Provide inputs to the supervisor for outreach and knowledge-sharing activities, by synthesizing lessons learnt and dissemination of best practices in project management.
  • Share feedback, ideas, and internal knowledge about processes and best practices and utilize productively.
  • Perform other duties as may be reasonably required and in line with the incumbent’s scope of services above.


Education/Experience/Language requirements:

Education

  • Completion of secondary school is required.
  • A First University Degree in Business Administration, Public Administration, or equivalent disciplines is desirable but not required.
  • Administrative certification would be considered an asset.


Work Experience

  • A minimum of six years of relevant experience in general administrative, logistics, or operations support services in national or international public or corporate organizations is required
  • Experience with monitoring and organizational tools is desirable
  • Previous experience in Nepal Police will be an asset.
  • Prior experience of working in challenging operating environments and hard-to-reach areas would be a significant asset.
  • Proficiency in computers and office software packages (MS Office) and experience in handling web-based management systems is desirable
  • Experience in Nepali typing is highly desirable.


Language:

  • Fluency in writing and speaking Nepali and English is required
