Functional Responsibilities:

Under the direct supervision of the Monitoring and Evaluation Senior Officer, the Knowledge Management Associate will be responsible for the following responsibilities related to external and internal knowledge management for the Security and Justice Programme in full compliance with UNOPS rules, regulations, and policies:

S/he will be responsible for all or part of the following duties which are performed according to organizational needs and structure.

Reporting and Knowledge Management:

  • Provides advice, guidance, and training to personnel on Knowledge Management best practices, UNOPS communications policies, and guidelines.
  • Ensure compliance with corporate communication, information management, and technology standards, and follow recommended guidelines and procedures.
  • Provide inputs to produce and keep up-to-date communication materials and a photo library with project photos.
  • Contribute to communication outputs to share information about the project and results achieved, in liaison with relevant project teams.
  • Assist in drafting stories and topics from the project's work and its partners for publication in local and other appropriate media.
  • Share publication, information, and knowledge with colleagues, clients, and partners.
  • Prepare draft knowledge management materials as required for events, mission travel, and/or discussions with partners.
  • Assist in collaborating with relevant support services units to facilitate the production and deployment of resources, including booklets, briefing notes, posters, and banners. This involves coordinating with service providers such as audio-visual production companies, and printing and translation companies as needed.
  • Provides sound contributions to internal knowledge networks and communities of practice by synthesizing lessons learned, and sharing experiences and best practices.
  • Contributes feedback, ideas, and suggestions regarding business processes, seeking to improve their efficiency and effectiveness.
  • Support the research and development of other corporate Knowledge Management tools


Communication

  • Coordinate implementation of an effective and quality communications strategy and work plan for the project under the guidance of senior management
  • Contributes to developing, reviewing, and updating the communications strategies, plans, and objectives for the project.
  • Supports the development of new and innovative ways of communicating with target audiences and advises on cultural sensitivities.
  • Retrieves data on project progress from relevant project teams as instructed.
  • Support in coordinating the inputs from various units and partners to develop consolidated social media posts, factsheets, presentations, and other written documents for both internal and external use.
  • Support the development and facilitation of in-house communication training for project personnel and partners.


Stakeholder Relations and Capacity Development:

  • Assist in engaging with external stakeholders as requested, which include donor representatives, project beneficiaries, relevant authorities, service providers, the media, and others.
  • Assists in organizing online and offline events to promote UNOPS and its activities.
  • Consult with different thematic groups on their Google Drive based on the content management needs and assist with document library customization and maintenance
  • Assist various departments in identifying, creating, and publishing content as needed.


Content Management:

  • Support the addition of meta-data in consultation with content owners
  • Collect and upload content from different thematic groups into the Google Share drive.
  • Inputs changes to layouts and content as suggested by the user groups and ensure they are correct and consistent
  • Assists in writing and editing various text-based external communications materials, including stories, press releases, speeches, articles, web content, and social media posts, in alignment with external communication plans and objectives.
  • Support the research and development of other corporate Knowledge Management tools.


Impact of Result:

The key results have an impact on the overall efficiency of the project including improved business results, communication, awareness building, and client services. Forward-looking content management has an impact on the organization of office management, knowledge sharing, and information provision.

Education/Experience/Language requirements:

Education:

  • A High School Diploma is required;
  • A Bachelor’s Degree or equivalent in communication, media, journalism, social studies, international relations, or related fields will be considered an asset and may substitute some of the required years of experience.


Experience:

  • With a high school diploma, a minimum of 6 years of work experience in copywriting, media, public relations, or communications is required.
  • Experience in managing social media accounts and websites is desirable.
  • Experience in the use of the Google Suite application is an advantage
  • Experience in graphic design is desired.


Language:

  • Fluency in writing and speaking Nepali and English is required
