NGO Federation of Nepal (NFN) announces vacancies for Admin and Finance Associate
NGO Federation of Nepal (NFN) is an umbrella organization or national platform of NGOs working in various fields of social welfare and development in Nepal. Established in 1991 for the promotion and protection of social justice, human rights, civic space, and pro-poor development, NFN has evolved as a leading organization working for the entire NGO movement in Nepal. It is actively working to unite, organize, capacitate, and mobilize civil society aiming to create a peaceful, democratic, and just Nepal.
Currently, NFN is looking for competent candidates to fulfill the following positions for the Civic Space Project funded by the Delegation of the European Union to Nepal and being implemented jointly by the NFN and the Association of International NGOs in Nepal (AIN). NFN invites applications for employment from interested and qualified candidates, both internal and external to the organization, for the following positions:
Admin and Finance Associate
Reports to: Admin and Finance Coordinator
Duty Station: NFN Central Office, Kathmandu.
Contract Duration: 1 year – with the possibility of further extension, subject to the availability
of funds, satisfactory performance, and continuing need
Salary: Negotiable based on relevant experience and desired qualifications
Scope of Work: Under the direct supervision of the Executive Director and in close
coordination with the Admin and Finance Coordinator, the Admin and Finance Associate will
be responsible for managing the overall administrative and financial matters of the projects
and organization.
- Responsible for the day-to-day management of account activities including updating ledgers, and cash books, handling petty cash, preparing vouchers of transactions as per bills, invoices, receipts, supporting documents, etc. in order to maintain records of
income and expenditures against approved budgets for project activities. - Issue cheques, get them signed by official signatories, and regularize banking transactions of the project taking support from the Office Assistant.
- Release the budgets as required and relevant and settle the advances and non-
compliances - Provide necessary support to the project team to maintain the admin and financial management system properly.
- Make deposits and payments of TDS and file and verify online ETDS according to the rules and regulations prescribed by the Nepal Government taxation system.
- Collect the financial reports from the districts and provinces, keep the records, and compile them.
- Prepare financial statements along with trial balance, collect bank statements, and prepare bank reconciliation statements complying with the financial guidelines of
donor and partner. - Undertake auditing exercises of accounts as per norms of the project and be responsible for the auditing process.
- Prepare financial reports as required or according to the project agreement,
- Assist Program Manager, Admin, and Finance Coordinator, and Executive Director with day-to-day office management and administration (keep leave records, personnel
files, and service contracts) - Assist in the process of purchasing equipment, spare parts, office supplies, stationeries, and services and keep up-to-date records of them as and when
required. - Keep inventory of equipment and fixed assets of the project and keep up-to-date records in a periodical manner.
- Be responsible for the management of field trips including travel and accommodation as necessary.
- Keep the records of contract papers of resource persons/trainers,
- Get involved in every event undertaken under the project at the Centre,
- Assist Program Manager and other officials to arrange meetings and other project events.
- Be responsible to prepare and send, in coordination with the Program Manager and Executive Director, the monthly, quarterly, and final reports and any other finance
reports as required. - Perform other activities as directed by Program Manager, Executive Director, and Admin and Finance Coordinator and as requested by the funding organization.
QUALIFICATIONS AND EXPERIENCE
- Minimum Bachelor’s degree in Commerce, Business Studies, or related field.
- Minimum 3 years of experience in independently handling budgeting, financial accounting, planning, and analysis in I/NGO.
- Demonstrated experience in the use of MS Office Package (Word/Excel/PowerPoint etc.) & Internet.
- Ability to lead the financial management of the project/program and make the linkage of this with the overall financial management of the organization.
- Knowledge of General Accepted Accounting Principles (GAAP).
- Good command of English & Nepali languages (written & spoken).
- Practical knowledge of project budgeting, accounting & reporting.
- Knowledge of tax and compliance.
- Working knowledge of accounting software FAMAS, or any other software.
- Good interpersonal, problem-solving & time-management skills.
- Willingness to work under pressure with tight deadlines and to travel across project areas..
